Erasmus+ Student mobility for study

Erasmus+ Student Mobility for Study Programme is one of the biggest student mobility programmes and it enables students to have a grant for the exchange in European partner universities.

For most part Lapland UAS’ partnership/cooperation agreements are degree programme based, which means that only students of that specific programme can be sent there. Our interest is to secure the usability of the exchange studies for student’s study plan and to support the fluent progress in studies during the exchange.

Who can apply?
  • All degree students of Lapland UAS can apply to Erasmus+ exchange if they have completed their first year studies = 60 ECTS credits.

  • Students can mainly apply for one semester at a time.

  • The minimum duration of the exchange is 2 months (= 60 days), and the maximum 12 months.

  • During the exchange, students must gain at least 5 ECTS credits /month.

  • The completed credits will be fully included into the student's degree at Lapland UAS according to the learning agreement.

  • There is no tuition fees.

  • Student can carry out several study and training periods abroad during his/her studies and have the Erasmus+ grant for 12 months in total.

Grants

Erasmus+ grant

Erasmus+ grant consist of an individual daily grant and a travel support  (starting from 1.8.2024 onwards for the academic year 2024-2025).

In addition a student can apply for the Erasmus+ additional support, if he/she fulfills the criteria for them. (See more details in the section Erasmus+ Additional Grants.)

 

Erasmus+ individual grant  amount is determined based on the destination country. The countries is divided into two groups.

Group 1:

  • grant for study exchange 540€/mont
  • Austria, Belgium, Denmark, France, Germany, Iceland, Ireland, Italy, Liechtenstein, Luxembourg, the Netherlands, Norway, Sweden

Group 2:

  • grant for study exchange 490€/month
  • Bulgaria, Croatia, Cyprus, Czech Republic, Estonia, Greece, Hungary,  Latvia, Lithuania, Malta, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, Turkey, North Macedonia

The individual grant is paid for the duration of the exchange period and additionally for 2 travel days

 

Erasmus+ travel support is determined based on the distance between the location of the city of the the home university and the location of the city of the exchange destination (the length of the one-way trip in kilometers). Distance is calculated with Erasmus+ Distance Calculator and the amount of the travel support is determined according to the table below:

Lapland UAS' Travel Grant

You can apply for Lapland UAS travel grant, if the Erasmus+ travel support is less than 450 €. In this case the Lapland UAS travel grant is paid until the total travel support is 450 €.

Erasmus+ Additional Grants

 

Students going for an Erasmus+ exchange can apply additional support, if they meet the eligibility criteria of the those grants.

Green Travel Support is possible to apply, if you travel to your exchange destination by using environmentally friendly means of transportation, which are buss, train, car-pooling and bike. At least half of the return trip must be traveled using above mentioned transportation. More information on criteria and amount of the grant can be found in the form Declaration of Green Travel Support.

Fewer Opportunities Topup you can apply, if you belong to one of the groups mentioned below. More information criteria and amount of the grant can be found at the form Declaration of Fewer Opportunities Topup.

  • Students with under-aged child or children
  • students who are family carers
  • students with disability
  • students having severe and/or chronic health problems
  • students who have received international protection

Inclusion support you can apply, if you have an injury, illness or a learning difficulty and need special arrangements which cause extra costs that cannot be covered by any other sources. Please contact the Internationalisation Services for more information.

 

Applying and payment of the grant

 

The grant will be paid in two installments, before (80%) and after (20%) the exchange

Grants are applied in SoleGRANT system, which can be accessed via SoleMOVE. To submit the grant application, you must have:
  • Accepted and confirmed exchange application in SoleMOVE 
  • Acceptance letter from the host university
  • Learning Agreement for Studies document signed by all three parties (a student, a home institution and a host institution)

Please note that the grants will not cover all the expenses of the exchange – it is very likely that during the exchange student will have to use their own assets as well!

If you have a Finnish citizenship or permanent residence permit (status A) and you are eligible to get KELA grants please contact KELA for more information concerning the grants for studying abroad.

Application Period
  • Erasmus+ main application period 1.2.-1.3. (for the next autumn and spring semesters)
  • additional application period 1.9. - 1.10. (for the places still available for next spring semester)


Start planning the exchange a good time in advance. Check the detailed application process in the next section below.

Erasmus+ Exchange Process

Before the exchange

  1. Start the planning of the exchange in good time beforehand. Familiarize yourself with the Lapland UAS web pages on going abroad and exchange destinations in SoleMOVE.

  2. Discuss with the Study councellor about the timing and the studies of the exchange.

  3. Fill in the Learning Agreement (LA), which will be signed by the student, Study councellor and the internationalisation services. 

  4. Contact the Internationalisation Services,  if you need help with the application process or choosing the exchange destination. Inform the Internationalisation Services on you plans and the possible host universities before submitting the SoleMOVE application.

    First application phase:
  5. Fill in your SoleMOVE application.
            - You can choose 1-3 exchange destinations.
            - Prepare the required attachments based on your first destination option.
                1. Learning Agreement (with your and the study counsellor’s signature OR e-mail confirmation to the Internationalisation services)
                2. Motivation letter
                3. To be noticed during a mobility period -form (signed)

  6. First selection: Internationalisation services make the Lapland UAS internal selection of the exchange applicants.
            - The selection is done on first come, first served basis.
            - After you have received the decision, remember to confirm (or cancel) your exchange in SoleMOVE.
           - After you have confirmed your exchange, Internationalisation Services will nominate you to your exchange destination (study exchange).

  7. Second phase of the application process (study exchange):
        - Wait for the instructions from your host institution, you will receive them by email.
        - Apply to the host institution according to the instructions you have received.
             - Attach all the required documents into the application.
             - Remember to submit the application deadline by the deadline
             - Remember also to make OLA / update Learning Agreement and send it to host university for their signing together with the exchange application.

  8.   Second phase selection
        - Your exchange destination makes the final decision of your approval. They will send you:
            1. Letter of acceptance
            2. Learning Agreement (Signed by all parties)
        - If you are accepted as an exchange student to the host institution, you can apply for the grants.
  9. Apply for the grants:
        - Fill in the grant application in SoleGRANT programme (log in through SoleMOVE system).
        - Upload required attachments into your grant application:
            1. Acceptance Letter (study exchange)
            2. Learning Agreement signed by all parties.
    - Make just one application with which you will apply both the Erasmus+ Grant  and the Lapland UAS Travel Grant.

  10. Language support: Erasmus+ programme offers an online language support for all Erasmus+ students. Before your exchange period you can do the  OLS language assessment test at EU Academy platform (create an account and log in).
    • The test includes listening comprehension, reading comprehension and grammar.
    • You will receive the results directly after the test.
    • You can do the test before your exchange and again after the exchange. That way you can evaluate the progress of the improvement of your language skills.
    • There are also online language courses available in many European languages in the platform.

    11. Familiarize yourself with the Exchange Student’s Checklist and the exchange destination and prepare yourself well for the trip! 

During Erasmus+ Exchange

  • Usually students make small changes to their studies. Always discuss with the study councellor about the possible changes to make sure that they are applicable for your studies.

  • Changing your study plans requires ALWAYS a document Changes to the original learning agreement. For this document remember to have the signatures from the exchange university and scan it to Internationalisation Services (outgoing@lapinamk.fi). NOTE: If you have used the OLA (online learning agreement), fill in the Changes also in OLA template in SoleMOVE.

  • Read your Lapland UAS email! All communication from home university takes place through Lapland UAS’ email!

  • Contact the Internationalisation Services if you face problematic situations during your exchange.

  • Exchange must not be discontinued or terminated earlier without discussing the matter with the Internationalisation Services. 

After Erasmus+ Exchange

  1. Before leaving ask the host institution for a signed Letter of Confirmation (Recognition Outcomes - The Receiving Institution form page 1) and return it to SoleMOVE immediately after the exchange

  2. Fill out the Erasmus+ Participant Survey, to which you will automatically receive a link to your email. These two are a confirmation of your exchange dates and based on that students will receive the rest of the Erasmus+ grant.

    Students whose credit transfer process is incomplete when answering for the EU Survey, will receive EU Survey 2 automatically after one month of the last day of the exchange. EU Survey 2 is not condition for receiving the rest of the Erasmus+ grant.

  3. Retake the OLS language test (the Placement test), if you want. Sign in the EU Academy platform with your personal username and password you created during the first OLS part.  The second part of the test gives you the change to evaluate the development of your language skills after the exchange.

  4. In SoleMOVE fill out the information in the After exchange interleaf

  5. Fill in and send the Exchange Report in Feedback -interleaf.

  6. Host university sends you the Transcript of Records, Download the Transcript to SoleMOVE After Exchange interleaf.

  7. Start the credit transfer process: 
    1. Contact your study councellor and start the credit transfer process electronically in Peppi by making Inclusion applications. See the instructions at Credit Transfer Applications (eRPL) | (eoppimispalvelut.fi).
    2. After international studies has been accepted in Peppi and you can see your credits done abroad in there, download your Lapland UAS Transcript of Records through Peppi.    
    3. Upload your Lapland UAS Transcript of Records -form to After exchange -interleaf in SoleMOVE.
