tokyo denki university

Lapland UAS has a bilateral agreement with Tokyo Denki University (TDU).

TDU offers international exchange program in autumn semester (September - January) in technical education (School of Information Environment) in Chiba New Town -campus, which is located about 25 miles away from Tokyo centre.

Who can apply?

Information Technology degree programme students.

Japanese language skill level N2 required.

Courses

Grants
Lapland UAS travel grant
• Student can apply Lapland UAS travel grant. The grant amount is 1000€/exchange/total (one-time payment before the exchange period starts)

Lapland UAS study grant
• Student can apply Lapland UAS study grant. The grant amount is 300€/full exchange month.

KELA
• Please also check available financial aids that you may receive from KELA for studies abroad.
• KELA financial aids and amounts for the exchange studies may differ from the ones you may receive while studying in Finland.


Note that the grants alone are not enough to cover all the expenses of the exchange, so you also have to use your own funds!

Costs

Some example costs below.

Insurances
Lapland UAS insurance is valid during the studies, but not during free time.
Students must take travel insurance themselves. Students must show the certificate of insurances to TDU.


Accommodation
Take into account the costs of accommodation.
Depending on the apartment, the rental costs may vary, and in addition to them, you should be prepared for e.g. for possible water and electricity bills.

TDU does not have own on campus accommodation, but they help students to get on either dormitory room or apparent.

 

Application process (e.g. 2022)

- Doctor visit (TDU requires Heath Certificate that includes e.g. chest x-ray)
- Bank Balance Certificate**
- Passport Photos 

** To get Study VISA student need to show that she/he has the finances to live in Japan during exchange studies. 
Requirement was around minimum 1 000 000 Yen when applying to TDU in 2022. Amount must be shown in students or supporters bank statement.

 

VISA
Costs related to apply VISA. Such as VISA itself, passport photos and picking/collecting the VISA from Empassy.


Travelling
Please note that the travel grant is not necessarily enough to cover the costs incurred from traveling to and from the destination.

Application period


Going for an exchange on the autumn semester

Lapland UAS internal application in the previous spring: 1.2.-1.3.
• When the exchange application has been approved, the Lapland UAS Internationalisation Services will nominate the student as an applicant to TDU.
• After that, student will start application process to TDU.  Lapland UAS Internationalisation Services will forward application documents and instructions to students ones those are delivered from TDU.
All the communication and documents will be sent between TDU and Lapland UAS Internationalisation Services coordinators.

Application process

Before the exchange

  1. Start planning your exchange well in advance. Familiarize to the exchange destination, study program and costs.

  2. Contact to Internationalisation Services if you need help with the exchange process, forms and time table.

  3. Check the exchange university’s courses with the Study councellor. Write a Learning Agreement (LA), non-EU. LA will be signed by the Study councellor and the internationalisation services.   

  4. Make your SoleMOVE application 

  5. After your SoleMOVE application has been approved Lapland UAS Internationalisation Services will nominate you to the host university.

  6. Lapland UAS Internationalisation Services will forward application forms to you.
    Fill application forms of the exchange university and have all required appendices.
    Send everything back to Lapland UAS Internationalisation Services for review (make sure there is still time to make alterations before host university's submission deadline)

    2. Academic Objectives and Study Plan at Tokyo Denki

    4. Important notice (Health Certificate & Insurance Certificate)

    5. Parent Agreement (under 20 years old students)

    6. Statement of Financial Resources (for visa application)*

    7. Agreement for Defraying Expenses (for visa application)*

    8. Bank Balance Certificate (for visa application)*

    9. The Official Transcript of Records in English  (Download from Peppi)

    10. Certificate of Enrollment issued by the home institution

    11. Copy of Passport

    12. Pictures (3 x 4 cm, color, 3 pieces)

    13. Learning Agreement (LA)
        
      *Financial statements are required for host university to apply Certification of Eligibility (COE) to student from Japanese government. COE will be needed as an attachment to VISA application. 
      In 2022 Bank statement needed to show minimum balance of 1 000 000 Yen (can be statement from students or supporters account)  

  7. Fill the forms electronically, ask the required signatures and deliver the forms and documents to the internationalisation services for review.

  8. TDU sent notify of acceptance and later the Letter of Acceptance.

  9. After receiving the Letter of Acceptance you can apply for the Lapland UAS Grants in SoleGRANT programme.

  10. Familiarize yourself with the Exchange Student’s Check List and the exchange destination and prepare yourself well for the trip! 

  11. Apply Visa!

During the Exchange

  • Usually students make small changes to their studies. Always discuss with the study councellor about the possible changes to make sure that they are applicable for your studies.

  • Changing your study plans requires ALWAYS a document Changes to the original learning agreement non-EU. For this document remember to have the signatures from the exchange university and scan it to Internationalisation Services (outgoing@lapinamk.fi).

  • Read your Lapland UAS email! All communication from home university takes place through Lapland UAS’ email!

  • Contact the Internationalisation Services if you face problematic situations during your exchange.

  • Exchange must not be discontinued or terminated earlier without discussing the matter with the Internationalisation Services. 

 

After the Exchange

  1. Before leaving ask the host institution for a signed Letter of Confirmation (Recognition Outcomes - The Receiving Institution form page 1) and return it to SoleMOVE immediately after the exchange. 

  2. In SoleMOVE fill out the After exchange interleaf and Feedback interleaf.

  3. Host university sends the Transcript of Records to Lapland UAS’ Internationalisation Services.
    Internationalisation Services will forward it to you and you can start the credit transfer process. If you receive the Transcript of Records personally, you must download the Transcript also to SoleMOVE.

  4. Start the credit transfer process: 
    1. Contact your study councellor and start the credit transfer process electronically in Peppi by making Inclusion application.
    2. After international studies has been accepted in Peppi and you can see your credits done abroad in there, download your Transcript of Records through Peppi.    
    3. Upload your Transcript of Records -form to After exchange interleaf in SoleMOVE.

akita university

Lapland UAS has a bilateral agreement with Akita University (AU). Our agreement is for Business and Technology students.

 

AU Exchange Programmes (2022):

AUSR - Akita University Program for Solving of the Regional Problem
- 1 or 2 semesters (October to February or October to August)
- Language used in class: Mainly English
- Few mandatory courses (2022: An Introduction to Japanese Culture, An Introduction to Japanese Society, Introduction to participatory workshop)
- Might include opportunity to apply JASSO Scholarship, 80 000yen/month. (2022 applying was possible if scholarships/grants from home university were less than 80 000yen/month)

AUGP - Akita University General Program 
- 1 or 2 semesters (October to February or October to August)
- Students can freely customize their courses for international students and other specialized subjects.
- Language used in class: English or Japanese (depending on the subject taken)
- English: Major specialized courses in Faculty of International Resource Sciences
- Japanese:  Major specialized courses in Faculty of Education and Human Studies, Faculty of Medicine, Faculty of Engineering Science are conducted in Japanese, so high level of Japanese language proficiency (JLPT N2 or higher) is required.

AUAJ - Akita University Academic Japanese Program
- Whole academic year (2 semesters - October - August)
- Language used in class: All Japanese.
Note! Required Japanese language proficiency for this programme is N2.

Students need to take Japanese health insurance also after arriving to Japan (Akita University will require it and assist)



Accommodation
Take into account the costs of accommodation.

Akita University has 3 different dormitories with different rental amounts.
- International Student House 5900yen/month + management fee 2500yen/month
- International House Building A 5900yen/month + management fee 2500yen/month
- International House Building B 15000yen/month + management fee 2500yen/month


In addition to rent, you should be prepared for e.g. possible separate water and electricity/gas bills.

In 2022 application process allowance of  around 1500€/month (e.g. Kela financial aid for exchange studies and Lapland UAS grants) was enough to get COE for VISA.

university of hokkaido

Lapland UAS has a bilateral agreement with University of Hokkaido.

Our agreement is for Technology, Forestry and Rural Industries students.

You can apply for study exchange and University of Hokkaido offers also training placements for students.

Who can apply?

Technology, ICT, Forestry and Rural Industries students can apply to the program.

Bachelor level studies you will need N2 -level Japanese language skills.

Exchange studies in English are available via HUSTEP programme, that focuses Japanese language and culture studies.

Application process; practical training exchange

Before the exchange

  1. Book well in advance counselling with the International Services.
  2. Discuss with your training instructor about the training place’s suitability.
  3. Write the:
    • Learning Agreement for Traineeships. Training Agreement will be signed by you, the study councellor/training instructor, the international services and the training destination/institution. All signatures must be found in the agreement but it can be handed around as a scan. 
    • If needed, make a separate contract of employment (Must show the amount of possible salary, CV etc. the possible documents required by the employer or the field of your study.
  4. Fill all needed forms by computer, ask the required signatures and deliver forms and documents to the International services for review.
  5. Fill in the electronic SoleMOVE -application.
  6. After International Services has accepted your exchange in SoleMOVE:
    • Confirm the exchange in SoleMOVE and then apply for Lapland UAS Training Grant and Lapland UAS Travel Grant in SoleGRANT programme by making one application. Remember to write your IBAN bank account number and Finnish social security number!
    • Upload approved Learning Agreement for Traineeships SoleGRANT to Enclosures interleaf.
  7. Familiarize yourself with the Exchange Student’s Check List, get insurances for the exchange, familiarize yourself with the exchange destination and prepare yourself well for the trip!
  8. Apply Visa! 

 

During the exchange

  • Read your Lapland UAS email! All communication from home university takes place through Lapland UAS’s email!
  • Contact the International Services if you face problematic situations during your exchange. We are delighted to hear your positive experiences as well.
  • Exchange must not be discontinued or terminated earlier without discussing the matter with the International Services.

 

After the exchange

  • Before leaving ask the employer for a signed Traineeship Certificate. It is a confirmation of your exchange period/dates and based on the document, students can be asked to pay back some part of the grant if needed.
  • Return the Traineeship Certificate to SoleMOVE.
  • In SoleMOVE, fill out the required information in the After exchange interleaf and Feedback interleaf.
  • Start the credit transfer process:
  1. Contact your practical training supervisor in the faculty.
  2. After you can see your practical training credits done abroad in Peppi, request your Transcript of Records through Peppi.  
  3. Upload your Transcript of Records -form to After exchange interleaf in SoleMOVE.
